Link Distribution collects a variety of information that you provide directly to us, including personal and company data, via the initial application to open a trade account, or the application to become a supplier.

We may also collect information via surveys, which are usually just opinions and used for creating better wholesale offers for you. Surveys are completely optional.

 

This includes, but is not limited to, address details, bank account details, email addresses, telephone numbers, and photographic identification.

Due Diligence:

We will use the information you provide to so we can check details with the aim to ‘know who we are trading with’. We look at both our customers and suppliers to establish legitimate business process to ensure that we know our stock has both come from and are going to reputable trade.

 

Marketing:

We will use email addresses that have “opted in” via our sign up forms, to send out wholesale trade offers on stock we have to offer. We will also send out brochures via regular post or other couriers if you have also opted in to this kind of marketing.

 

Sales Order processing:

Your invoice and shipping addresses will be stored for the use of sales order processing, and shipping orders at your request.

 

Service-Related Announcements:

We will send you service-related announcements on rare occasions when it is necessary to do so. For instance, if our service is temporarily suspended for warehouse moves, system downtime or national holidays, we might send you an email. Generally, you may not opt-out of these communications, which are not promotional in nature. If you do not wish to receive them, you have the option to unsubscribe from the mailing list completely.

 

Order-Related Communications:

If you place an order, we will use your name and email address to send you a copy of a sales order, a proforma invoice, a shipping confirmation email and an actual invoice.

 

Credit Control:

We may use your information to request payments for your orders, and also, in some circumstances and/or if applicable, contact credit reference agencies. Should you default on your credit account, details may be passed to our solicitors and/or credit insurers.

 

Such processing of your Personal Data is necessary for the performance of our Services; the legal basis for such processing of your Personal Data is therefore Art. 6(1)(b) GDPR. Please note that you are contractually required to provide us with such Personal Data and that without such Personal Data we will not be able to send you order-related communications.

We use other third party service providers to offer or facilitate services on our behalf and share your Personal Data with such providers to the extent necessary for such providers to perform their services on our behalf.

In particular, we are using various shipping companies to fulfil orders, an Email marketing platform to a provide our email based offers, a credit card processing company to take payment for goods, credit insurance company to facilitate credit accounts, and a secure file transfer company to deliver digital product. When you order products from Link Distribution, we will share your Personal Data as necessary for such third party services providers to provide the applicable service to us or on our behalf. Any sharing of your Personal Data with such third party service providers will be made in accordance with applicable data protection laws and will be limited to the extent necessary. These third parties are prohibited from using your Personal Data any other purposes than those described herein.

 

We may be required to disclose your information to government or law enforcement officials in response to a lawful request by a public authority or if we have to do so to comply with a legal obligation, including to meet national security or law enforcement requirements according to Art. 6 (1)(c) GDPR. We can also disclose your information in order to pursue our legitimate interest in applying or enforcing our terms and conditions or in responding to any claims, in protecting our rights or the rights of a third party, in protecting the safety of any person or in preventing any illegal activity (including for the purposes of fraud protection and credit risk reduction) according to Art. 6 (1)(f) GDPR. Facebook Messenger: You may contact us via Facebook Messenger, where we would point you in the right direction to speak to us directly. We use Facebook messenger as a means of communication only and no direct marketing.

We keep your information on our servers located in house.  We use state of the art hardware firewalls, routers, and all computers and servers are protected with up to date end point security to protect against the unauthorised access, destruction or alteration of your information.  Despite our best efforts, however, no security measures are completely impenetrable.
